Managing Roles for Existing Users

After a user has been invited to Maalka, you can edit their Roles and which sites or regions they can access by going to the Manage Users screen. This button is located in the gear icon at the very top of the screen.

Here you will see a list of all users in your program and some information about them such as their Primary Role, and if their account is currently active or pending. You can search for a specific user using the search bar.

To edit a user's Role, click the menu icon next to the user name and select, View/Edit Roles. To remove the user from your program completely. you can select, Remove User.

You can change a user's access level for each Advanced Role by adjusting their Role in the Role dropdown. For instance, you can do things like upgrade a user's access level "Site Collaborate" to "Region Collaborate." When doing this, make sure your adjustments follow the guidelines for each Role type, as outlined in the Roles section.

If you want to change a user's Role completely, such as revoking away their region access, you can remove a Role by clicking the x button in the corner of the Role section.

You can also add adjust the sites or regions a user can access. To see all available sites, first uncheck the View Assigned Sites checkbox.

If a site is checked, it means the user will have access to that site. If it is unchecked, a user will not have access to the site.

When you are done making changes, click Save and the user's Roles will be updated.

Managing Users by Site

Another way to manage your users is to manage them by site. This may be useful if you need to know which users have access to a sites, what their access levels are, and if you need to give or revoke access to that site.

To get to this page, first click the Manage Users option from the gear icon at the top of the screen.

Then click the By Site button.

You will see a table with every site in Maalka and the number of users who have access to those sites. This number does not include Administrators or other users with access to all sites. You can see how many users have access to all sites at the top of the table.

To view and edit the user Roles inside a site, click the menu button and select Edit/View Site User Access.

From here you can see the users that can access the site and what their Roles are. To change a user's Role, use the Role dropdown next their name.

You can add users or remove users from the site by checking or unchecking them from the list. If you add a new user, you should assign them a site-level role such as Site Collaborate.

It is possible to change a user's Role from this screen, but it is not recommended since Roles may not work properly without setting up Advanced Roles and/or adjusting the Primary Role. If you need to change a user's Role, go to the Manage Users by User page and follow the steps outlined here.

When you are done making changes, click Save.
